PRESIDENT
 
  • To be a Figurehead for the Club

  • To define the direction of the Club and its activities, with the help of the Committee

  • To Represent the Club at official functions and events where required.

  • To actively promote the Club at every opportunity.

  • To take responsibility for all decisions, financial and procedural, made by the Committee on behalf of the Club

  • To ensure all decisions are fiscally responsible.

  • To ensure the Club and Committee operate in accordance with the Club Rules and the Code of Conduct

  • Facilitate the arrangement of guest speakers for Club Meetings

SECRETARY
 
  • Record and maintain Minutes of all monthly Club Meetings, Committee Meetings, and the Annual General Meeting.

  • Prepare Agendas for all Club and Committee Meetings, and the Annual General Meeting.

  • Receive and record correspondence addressed to the Club, and redirect to other Club Officers for information and/or action as applicable.

  • Generate correspondence to Club Members and/or third parties as applicable.

  • Lodge the Club’s Annual Return with the Office of Fair Trading.

  • Ensure compliance by the Club and its Officers with applicable regulatory requirements, including those of the Associations Incorporation Act 1981.

VICE-PRESIDENT
 
  • Support and assist the President in whatever mode that is required.

  • Take on the duties of the President when he is unable to conduct same.

  • Attend Committee and Club Meetings.

  • Present a positive profile for the Club, promote and encourage further Membership, attendance at Club events, etc.

TREASURER
 

The Club uses MYOB to manage the club's financials. Experience with this program is essential to to the position.

  • Maintain an accounting system for club accounts

  • Maintain assets register, receipt book register, and other financial records

  • Collect income and write receipts for all income

  • Deposit income regularly

  • Pay authorized bills and accounts

  • Maintain petty cash system (if required)

  • Reimburse other members for minor expenses such as postage and phone calls

  • Maintain bank accounts

  • Prepare financial reports

NATIONAL DELEGATE
 
  • To Represent the Club at official National Delegates’ meetings and telephone conference-call hook-ups.

  • To disseminate relevant information gathered at said meetings to Club members in a timely fashion.

  • To liaise with the Committee regarding nominations for the “Friend of Marque” and the “Knöchlein” awards.

  • Maintain regular contact with other Club Delegates and with the National Chairman and Vice-Chairman (Cars)

LIBRARIAN
 
  • Maintain a Register of publications, videos, etc., in the Club Library.

  • Make the Club Library available to Members at all Club Meetings.

  • Maintain a Register of all Library material loaned to Members, including the title of the borrowed item, the Member, date borrowed, and date due to be returned.

  • Follow up Members for any Library material not returned by the due date.

6 SERIES LIASON OFFICER
 
  • Act as liaison between BMW Club Queensland and 6 Series Register.

  • Coordinate diary activities between the two organisations.

  • Represent the best interests of the 6 Series Register within BMW Club Queensland.

  • Represent the best interest of the BMW Club Queensland within the 6 Series Register.

  • Mentor new members of BMW Club Queensland with 6 Series cars.

  • Encourage and promote 6 Series Register membership to BMW Club Queensland members with 6 Series cars.

  • Encourage and promote BMW Club Queensland membership to 6 Series Register members.

WEBMASTER
 

Website objectives:

The Club uses MS Frontpage to manage the website. Experience with this program is essential to to the position.

  • To inform existing Club members about Club activities

  • To attract new members to the Club

  • To establish contacts with other official BMW clubs and organisations

  • To provide useful and interesting content to all visitors to the site

  • To provide a secure method for Members to pay for renewals and make purchases.

Duties - Webmaster:

  • Updating the site with new content provided by Club officials

  • Maintaining the integrity of existing site content

  • Maintaining the functionality of site

  • Maintaining corporate design/style

  • Creating new pages as required

  • Suggesting ideas for new pages

  • Responding to messages direct to the webmaster

  • Monitoring site usage

  • Liaising with the ISP

  • Establishing contact with other BMW club site webmasters

MAGAZINE EDITOR
 
  • Prepare The Bimmer for publication and distribution in February, April, June, August, October, and December each year.

  • Liaise with printer.

  • Liaise with advertisers.

  • Prepare schedule for The Bimmer annually.

  • Solicit and receive submissions for inclusion in The Bimmer.

  • Inform Committee of milestones as required.

CLUB CAPTAIN
 
  • Maintain a record of attendance, organisers and competition results at all club events and functions other than committee meetings.

  • Maintain a tally of points scored by each member as a result of attending, organising or competing in club events and functions. Points are tallied from 1st July to 30th June and the "Most Supportive Member" trophy is awarded to the highest point scorer.

  • Liaise with organisers before and after meetings and events to ensure a record of attendance (and placing's) will be kept, and to obtain a copy of that record.

  • Promote and support the club at all times, and provide assistance and moral support to other committee members and organisers of club events.

MEMBERSHIP OFFICER
 

Member Liaison Duties

  • Provide membership information to people enquiring about the Club

  • Process Membership Applications, Renewals, and requests for Additional Cardholders.

Membership Database Maintenance

The club uses MS Access to manage the club's database. Experience with this program is essential to to the position.

  • Ensure the database is up to date

  • Report the membership figures to the Club each month

  • Print Membership Cards using the Club's Plastic Card Printer.

  • Print Cards for other BMW Clubs if and when required.

  • Send the Membership figures to Clubs Australia at the end of December.

  • Liaise with other Car Clubs to promote interclub competition and event sharing

  • Provide members with information on attaining CAMS and AASA competition licences as required.

  • Seek out other Motorsport events that Club members may be interested in attending

  • Encourage members to apply for CAMS Officials Licences.

SOCIAL DIRECTOR
  • Arrange Australia Day Breakfast

  • Arrange Presentation Night in July

  • Arrange Christmas Party in December

  • Arrange other various social events as required
